Exchange Server Configuration Window

Integrates an AgileShape with Microsoft Exchange Server. When this connection is properly configured, the AgileShape will then insert, update, and remove tasks for the assigned participants, so that the tasks can be viewed directly from Microsoft Outlook.



Navigation

  1. In AgilePoint Envision, open a process template.
  2. Navigate to the Premier Extension stencil.
  3. Drag one of the following AgileShapes, and drop it on the process model:
    • Dynamic Parallel Approval
    • Dynamic Sequential Approval
    • Vote
    • Web Form
    • Workload Balance
  4. To view the entire list of properties, in the Design Tasks pane, click Show Properties.
  5. In the EnabledExchangeServer field, click True.
  6. In the ExchangeServer field, click the Ellipses button.

Field Name Definition

Exchange 2003/2007 or Exchange 2010
Definition:
Specifies the version of your Microsoft Exchange Server.
Allowed Values:
  • Exchange 2003/2007 - Enables to configure this AgileShape to access Exchange Server 2003/2007.
  • Exchange 2010 - Enables to configure this AgileShape to access Exchange Server 2010.
Default Value:
Exchange 2003/2007

Url
Definition:
Specifies the Exchange Server URL.
Allowed Values:
  • Exchange 2003/2007 - https://[machine name]:[port]
  • Exchange 2010 - https://[machine name]:[port]/EWS/Exchange.asmx

Domain
Definition:
The authentication domain.
Allowed Values:
A valid domain.

Definition:
The user name for an Exchange Server administrator.
Allowed Values:
A valid user name.

Definition:
The password for the authentication account.
Allowed Values:
A valid password.

Use AgilePoint System User at Runtime
Definition:
Specifies whether to use the AgilePoint system user account (usually the same as the AgilePoint Service account) for the action when the process is running.
Allowed Values:
  • Selected - Uses the AgilePoint system user account for the action at runtime.
  • Deselected - Uses the credentials specified on this window at runtime.
Default Value:

Import the subject, body, and priority from the following email template
Definition:
Specifies an email template to be used for sending emails from Microsoft Outlook.
Allowed Values:
  • A list of automatically populated email templates if designed for the process.
  • None - Specifies that no email template is created within the process.
Default Value:
None

Category
Definition:
Specifies an Outlook category to associate with the task.

A category provides a way to group tasks that are created using the same AgileShape. For example, if different AgileShapes have been configured to use Exchange Server, then in this case, a category acts as a keyword which uniquely identifies the tasks created using one AgileShape.

Remove Outlook Task if workflow Task is cancelled.
Definition:
Determines whether to delete the task item from the participant's task list on Microsoft Outlook when the task is cancelled in the process.
Allowed Values:
  • Selected - Deletes the task item from Microsoft Outlook when the task is cancelled in the process.
  • Deselected - The task item is not updated on Microsoft Outlook even if the task is cancelled in the process.
Default Value:
