Let a User Submit an eForm in a Process-Based App With No AgilePoint NX Account

To let a form user complete an eForm in a process-based application with no authentication to AgilePoint NX, do the procedure in this topic.

Prerequisites

How to Start

  1. On the Application Explorer screen, do one of these:

    • Add an activity:
      1. In the Process Builder, in the Activity Library, open the eForms tab.
      2. On the eForms tab, drag one of these activities onto your process.
        • Anonymous Start Task (eForms)
        • Anonymous Standard Task (eForms)
        • Start Task (eForms)
        • Standard Task (eForms)
    • Change an activity:
      1. In your process, double-click your activity.
  3. Click Advanced > Anonymous Access

Procedure

  1. On the Anonymous Access tab, in the Anonymous Access Name field, enter a name for your authentication.
  2. In the Access Token field, select your anonymous access token.

    To create a new access token, click Add Token . For more information, refer to Access Token for Anonymous Forms.

  3. (Optional) Click Generate to get the anonymous form URL.

    You can use anonymous form URL to open the eForm in a web browser.

  4. (Optional) Click View to see the URL for your anonymous form.
  5. (Optional) If you want to specify your proxy or external URL to expose your form externally or add your own query string parameter to view the value on the form based on query string parameter, do this procedure.
    1. Click the URL tab.
    2. On the URL tab, complete these fields.
      Field Name Definition

      Base URL

      Function:
      Specifies your AgilePoint NX Portal instance URL. You can also specify your proxy or external URL to expose your form externally.
      Accepted Values:
      A valid portal instance URL.
      Default Value:
      Your portal instance URL.

      The default portal instance URL is the same as the portal instance URL on the Tenant Settings.

      Parameter

      Function:
      Shows the query string parameter. You can not change the default parameter and its value. You can specify your own query string parameters and values. This shows the specified values on your eForm.
      Accepted Values:
      A query string parameter.
      Default Value:
      • WID - This is the default value when you configure anonymous form for eForms Standard Task.
      • Process - This is the default value when you configure anonymous form for eForms Start Task.
      Accepts Process Data Variables:
      No

      Value

      Function:
      Shows the value for the query string parameter.

      You can not change the default parameter and its value.

      Accepted Values:
      A value for parameter.
      Default Value:
      Accepts Process Data Variables:
      No

      Add

      Function:
      Creates a row to specify your own query string parameter and its value.

      You can send this query string parameter to your form.

  6. (Optional) To access the limit of your anonymous form specify an IP address range, do this procedure.
    1. Click the Firewall tab.
    2. On the Firewall tab, complete these fields.
      Field Name Definition

      IP From

      Function:
      Specifies the lowest IP address that can open your eForm.

      If this field is blank, it allows all IP addresses to access an eForm.

      Accepted Values:
      A valid IP address.
      Default Value:
      None
      Accepts Process Data Variables:
      Yes
      Example:
      192.168.88.1

      IP To

      Function:
      Specifies the highest IP address that can open your eForm.

      If this field is blank, it allows all IP addresses to access an eForm.

      Accepted Values:
      A valid IP address.
      Default Value:
      None
      Accepts Process Data Variables:
      Yes
      Example:
      192.168.88.98
  7. (Optional, for Anonymous Standard Task only) If you want to require a verification code for external users to open the eForm, do this procedure.
    1. Click the Multi-Factor Authentication tab.
    2. On the Multi-Factor Authentication tab, click Enable Multi-Factor Authentication.
    3. Complete these fields.
      Field Name Definition

      Enter E-mail address you would like to receive verification codes

      Function:
      Specifies an e-mail address to send the multi-factor authentication verification code to access an anonymous form.
      To Open this Field:
      1. On the Multi-Factor Authentication tab, select Enable Multi-Factor Authentication.
      Accepted Values:
      A text string in e-mail address format.
      Default Value:
      None
      Accepts Process Data Variables:
      Yes

      Verification Code Expires In

      Function:
      Specifies the time for the multi-factor authentication verification code to expire.
      To Open this Field:
      1. On the Multi-Factor Authentication tab, select Enable Multi-Factor Authentication.
      Accepted Values:
      A number of seconds, minutes, hours, days, weeks, or months.
      Default Value:
      None
      Accepts Process Data Variables:
      Yes

      Verification Code Does Not Expire

      Function:
      Specifies that the multi-factor authentication verification code has no expiration, and can be used at any time.
      To Open this Field:
      1. On the Multi-Factor Authentication tab, select Enable Multi-Factor Authentication.
      Accepted Values:
      • Selected - The multi-factor authentication verification code does not expire.
      • Deselected - The multi-factor authentication verification code expires based on the configuration of the Expires Time field.
      Default Value:
      Deselected
  8. Click Finish.
